Where ad chats get lost

Your clinic pays for every chat an Instagram or Facebook ad brings in. These are the six places most of those chats get lost, and how to fix each one.

Click-to-WhatsApp ads are one of the easiest ways to bring patients in. But many clinics see plenty of chats and few bookings, and assume the ad is the problem. Usually the problem starts after the patient arrives.

1. The reply is slow

A patient who taps your ad has often messaged several clinics at once. The clinic that answers first, with a clear answer and a specific time, is the one that books them. A reply an hour later, or the next morning, usually arrives after they've decided.

2. A price with no next step

“Whitening is 899 SAR”, then silence. The patient got what they asked for and left. Every answer to a price question should end by offering a specific time: “Would Wednesday at 4:30 work?”

Hi, how much is teeth whitening?

Hello, and welcome. Whitening is 899 SAR, consultation included. Would Wednesday at 4:30 pm work, or is another time better?

3. Too many questions before booking

Asking for a full name, ID number and insurance details before offering any time wears patients out. Book first with the least information, and collect the rest at confirmation or at the clinic.

4. Out of hours

Your ads run at night and at weekends, and many patients message after dinner. If nobody answers then, you're paying for chats that no one will see until morning.

5. No follow-up

The patient who said “let me think about it” needs a friendly message the next day. The patient who booked and didn't show needs a message within the hour with another time. Without follow-up, nearly certain bookings slip away.

6. You don't know which ad brought the patient

If Meta doesn't know which chats ended in a booking, it optimises your ad for cheaper messages, not more patients. Tie each booking to the ad it came from, and send the booking back to Meta so your ads learn from the real result.

Where to start

  1. Test your own reply time: message the clinic's number like a patient, during and after working hours.
  2. Write a ready answer for each common price question, ending with a specific time.
  3. Decide who answers at night and at weekends, or use an AI front desk that actually books.
  4. Follow up everyone who didn't book after a day, and every no-show within the hour.
  5. Count weekly, for each ad: chats, bookings and attendance.
